1) Who we are

Time Capsule Foundation collects and curates cultural submissions from contributors worldwide for preservation, curation, exhibition, research, and publication aligned with our mission. We are the “Controller” of personal data collected via this Portal under UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (the “PDPL”). The UAE Data Office acts as the federal data regulator.

2) What data we collect

  • Identity & contact: name, email, phone, country/region, preferred language.
  • Submission metadata: title, description, category, tags, geolocation (if you choose to provide it), relevant dates.
  • Content you upload: text entries; images; documents (e.g., PDF). Content may contain personal data if you include it.
  • Technical & usage: IP address, device/browser identifiers, session logs, and basic analytics/cookies necessary to run the Portal.
  • Consent records & preferences: timestamps, consent status, communications preferences.

3) Why we use your data and lawful bases

We process personal data where a lawful basis applies under PDPL, including consent, contractual necessity, compliance with law, or legitimate interests. Key purposes include:

  1. Intake & management of submissions.
  2. Publication, exhibition & archival.
  3. Communications about your submission.
  4. Governance, security, and compliance.
  5. Analytics to improve the Portal.

4) Special categories & sensitive data

Please avoid including sensitive personal data (e.g., health, biometric, religious, or political information) unless necessary for artistic or documentary purposes and legally permitted. If included, we apply heightened safeguards.

5) Children’s data

Our Portal is intended for adults. We do not knowingly collect data from children (under 18 years in the UAE). If such data is collected without authorization, we will delete it.

6) Cookies and similar technologies

We use essential cookies to operate the Portal and minimal analytics to understand performance. You can manage non-essential cookies via your browser settings.

7) How we share data

We may share data with:

  • Service providers (hosting, storage, email, analytics).
  • Curators, jurors, and project partners.

We retain submission data only as long as necessary for project purposes and legal obligations. Data may be archived for cultural preservation as granted in your submission rights.

10) Security

We implement technical and organizational measures such as encryption, access control, and integrity safeguards, in line with PDPL standards.

11) Your privacy rights

Under PDPL you may have rights to access, correction, erasure, restriction, portability, objection, and non-automated decision review. You may lodge complaints with the UAE Data Office.

12) Direct marketing

We only send project updates or newsletters with your consent. You can opt out anytime.

13) Data breaches

We maintain incident response procedures and will assess and notify affected individuals and/or regulators in accordance with PDPL.

14) Third-party links

Our Portal may link to third-party platforms; their privacy practices are governed by their own policies.

15) Changes to this Policy

We may update this Policy periodically to reflect legal or operational changes. The updated version will include a new effective date.
